Excel or school management software: which should you use?

Many schools and tuition classes run well on Excel or registers, and that is a fine place to start. This page shows where a spreadsheet works, where it starts to cost you time, and when software is worth the move.

Excel is good for

One person, one small list, simple totals and a few classes.

Software is better for

Many users, receipts and report cards that must be right, and records you can trust a year later.

You do not have to choose all at once

Start by moving one thing, such as fees or attendance, and keep the rest as it is.

Where a spreadsheet starts to hurt

A spreadsheet has no idea who changed a cell. Two people editing the same file leads to copies, and copies lead to arguments about which one is right. Receipt numbers are typed by hand, so duplicates and gaps creep in. Report cards need the same formulas copied to every class, and one broken formula can change a result without anyone noticing.

What software adds

In software each user has their own login and sees only what their role allows. Every change is recorded with who made it and when. Receipts are numbered in order. Marks are entered once and totals, grades and ranks follow the same rule for every student.

When to switch

Move when you feel any of these: you are fixing the same mistakes every month, only one person understands the file, parents ask for receipts you cannot find, or report card time takes days. If your spreadsheet is working and you have time, there is no need to hurry.

Can I move my Excel data in?+

Yes. Student lists, marks and routines can be imported from Excel or CSV, and every row is checked before it is saved.

Will I lose my old files?+

No. Keep your spreadsheets as they are. Many schools run both for a month before switching fully.

Is Cometstep free?+

It is free to start: up to 25 students for tutors, 50 for coaching centres and 150 for schools.

Try one thing first

Start free and move fees or attendance first. Keep the rest as it is.
