Set the rules before the first lesson
Share a one-page fee policy with every new family: the fee, the due date, accepted payment modes, and what happens with late payment or missed lessons. When the rules are written, a reminder is just a reminder, not a confrontation.
Make paying easy
Share one UPI ID or QR code and accept the mode parents prefer. Ask for a payment screenshot or reference number and record it straight away.
Always give a receipt
A short receipt with the date, student, month and amount avoids disputes later and builds trust. Number your receipts so you can find any payment quickly.
Send reminders before and after the due date
Most late payments are simply forgotten. A friendly reminder two days before the due date and another the day after fixes most of them.
WhatsApp templates you can copy
Edit the names and amounts, and keep the tone warm.
- Before due date: “Hello [Parent name], a gentle reminder that [Student]’s fee of ₹[amount] for [month] is due on [date]. You can pay by UPI to [UPI ID]. Thank you!”
- On due date: “Hi [Parent name], today is the due date for [Student]’s [month] fee (₹[amount]). Please send a screenshot once paid so I can share the receipt.”
- After due date: “Hello [Parent name], I noticed [Student]’s [month] fee of ₹[amount] is still pending. Could you please pay by [date]? Happy to help if there is any difficulty.”
- Thank you: “Received ₹[amount], thank you! Receipt no. [number] attached.”
